    Responsibilities

    SUMMARY OF RESPONSIBILITIES:

    The purpose of this position is to manage the front office and be the key point of contact for all visitors. This position will interface NI-wide for all departments administrative needs and provide support and assistance as needed.

     

    SUPERVISORY REQUIREMENTS:

                None

     

    ESSENTIAL FUNCTIONS:

    • Answer incoming telephone calls. Screen callers, determine purpose of calls, and forward calls to appropriate personnel or department.
    • Act as a gate-keeper by screening solicitors, sales vendors, unwanted calls/visitors, etc.
    • Welcome on-site visitors, determine nature of business, and announce visitors.
    • Prepare for planned visits by background screening visitors through MK Denial and creating agendas.
    • Monitor and manage office-wide supply levels, order supplies, and process invoices.
    • Plan and organize various company sponsored events.
    • Schedule and coordinate arrangements for multiple conference rooms including logistics and catering.
    • Receive, sort, and route mail, faxes, and packages. Send outgoing mail and faxes.

     

    ADDITIONAL RESPONSIBILITIES:

    • Support the Engineering department by updating the engineering database in the ERP system.
    • Respond to heavy demand within all departments by assisting with their administrative needs.
    • Write and edit technical documents for engineering and laboratory departments.
    • Ability to represent the company in a professional manner. for phone communications and front office responsibilities with visitors.

    Perform special projects and other duties as assigned

    Qualifications

    KNOWLEDGE, SKILLS AND ABILITIES REQUIREMENTS:

    • Strong interpersonal and written communication skills.
    • Detail-oriented with excellent organizational skills.
    • Experience with Microsoft Office Suite (Excel and Word). SAP back-up responsibilities in the future.
    • Strong customer service skills.
    • Ability to multitask.

     

    EDUCATIONAL/EXPERIENCE REQUIREMENTS:

    • Bachelor’s degree, Associate’s degree, or relevant experience.

    PHYSICAL/ENVIRONMENTAL REQUIREMENTS:

    • Office environment working requirements.
