Responsibilities

SUMMARY OF RESPONSIBILITIES:

Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system.

 

SUPERVISORY REQUIREMENTS:

            None  

 

ESSENTIAL FUNCTIONS:

  • Answers incoming calls, transfers or delivers messages. 35%
  • Answers questions about organization and provides callers with address, directions, and other information. 5%
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. 5%
  • Orders food for various meetings and functions. 5%
  • Prepare, print and distribute visitor agenda’s 5%
  • Monitors visitor access and oversees sign-in procedure. 5%
  • Receives, sorts, and routes mail, and maintains and routes publications. 5%
  • Compile the weekly reports and send to managers accordingly 5%
  • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary. 5%
  • Performs other clerical duties as needed, such as filing, photocopying, and collating. 25%

 

ADDITIONAL RESPONSIBILITIES:

  • General knowledge and understanding of Hysitron products.
  • Ability to work with members of management and customers in a professional manner.
  • Performs other duties as assigned.

 

Qualifications

PHYSICAL/ENVIRONMENTAL REQUIREMENTS:

  • Office environment
  • Able to lift 25 pounds with support

KNOWLEDGE, SKILLS AND ABILITIES REQUIREMENTS

    • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
    • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
    • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
    • Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
    • Talking to others to convey information effectively.
    • Actively looking for ways to help people.
  • Present self in a neat and professional manner

EDUCATIONAL/EXPERIENCE REQUIREMENTS:

High School Diploma or General Education Degree (GED)
