Responsibilities

SUMMARY OF RESPONSIBILITIES:

The front Office Administrator is responsible for managing all matters pertaining to reception/office appearance and utilities such as (but not limited to), maintaining stocks of office supplies, arranges shipments (FedEx, etc.), coordinates activities with janitorial services, issue and replace employee and guest’s badges and so on. Serves visitors and by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system.

 

SUPERVISORY REQUIREMENTS:

            None  

 

ESSENTIAL FUNCTIONS:

  • Acts as focal point for front office activities as described above
  • Answers questions about the organization and provides callers with address, directions, and other information
  • Coordinate conference room bookings and appointments
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel
  • Record, file and track all outgoing and incoming courier and sort mail
  • Maintain inventory of office stationery
  • Assist with travel arrangements and expense reports
  • Assist with administrative tasks and provide research and administrative support to senior staff, where necessary
  • Orders food for various meetings and functions
  • Prepare, print and distribute visitor agenda’s
  • Monitors visitor access and oversees sign-in procedure.
  • Receives, sorts, and routes mail, and maintains and routes publications
  • Compile the weekly reports and send to managers accordingly
  • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary
  • Performs other clerical duties as needed, such as filing, photocopying, and collating

 

ADDITIONAL RESPONSIBILITIES:

  • General knowledge and understanding of BNS products.
  • Performs other duties as assigned.

 

Qualifications

ADDITIONAL REQUIEREMENTS:

 

  • Excellent administration and organizational skills: ability to prioritize, follow up and multi-task
  • Ability to work with members of management and customers in a professional manner
  • Excellent communication and telephone skills (fluent, spoken and written English)
  • Good computer skills – efficiency in MS Office (Outlook, Word, Excel, PowerPoint)
  • Flexible and resourceful at problem-solving
  • Ability to work independently or as part of a team
  • AA degree or minimun of 4 years of related experience

 

PHYSICAL/ENVIRONMENTAL REQUIREMENTS:

  • Office environment
  • Able to lift 25 pounds with support
