Responsibilities

The Senior Service Order Administrator is responsible for the accurate and timely processing of service orders, ensuring a smooth workflow from service request to completion. This role is critical to customer satisfaction, service efficiency, and documentation compliance.

  • Enter, maintain, and follow up on service orders in SAP or Salesforce system
  • Ensure accurate service details, scheduling, and prioritization according to customer agreements
  • Coordinate with service technicians, logistics, and Purchasing for timely order fulfillment
  • Communicate with customers regarding service status, delays, and completion
  • Monitor open service requests, escalating critical issues when necessary
  • Maintain customer and service order master data
  • Assist with service reporting, invoicing, and compliance documentation
  • Track KPIs and report service order metrics to Service organization

Qualifications

  • Completed commercial or business-related qualification (e.g., Business Administration, Industrial/Wholesale & Foreign Trade) or equivalent
  • 2-3 years experience in sales order processing / order administration, ideally in a manufacturing or technical environment
  • Proficiency in ERP systems (e.g., SAP, Salesforce)
  • Strong Excel and MS Office skills
  • Highly organized, detail-oriented, and deadline-driven
  • Strong communication skills and team-oriented
  • Excellent English skills (written & spoken) - additional language German, French, nice-to-have
