For our Warsaw location, we are currently looking for candidates for the position of: Administration Payroll Specialist (m/f/d). 

 

New opportunity for a Payroll Specialist to join the Bruker Support Center based in Warsaw Poland. The Payroll Specialist will work on existing country payroll and time management functions to the new Bruker Business Support Center. This position is responsible for the delivery of professional, high quality, accurate, and timely payroll service and support to employees and the Company as outlined in key process and operational metrics.

Responsibilities

  • Partner with payroll provider, HR Business Partners, HR Service Delivery, Compensation and Benefits, General Legal, and related internal/external parties to ensure the timely and accurate delivery of payroll services.
  • Provide payroll input and outputs to ensure the highest standards of timeliness, completeness, and accuracy for payroll-related payments, while ensuring compliance with required legislation.
  • Serve as the first point of contact for addressing and resolving payroll-related questions, concerns, issues, and escalations in a timely, supportive, and responsive manner.
  • Improve, implement, and consistently follow defined payroll processes.
  • Maintain payroll master data (e.g., input and output payroll files, payslips, contracts, contract changes, long-term absence).
  • Oversee the daily activities of the outsourced payroll vendor, including service delivery, tax reporting, and compliance.
  • Facilitate and support communication with third parties.
  • Coordinate and resolve payroll-related process incidents raised by the business.
  • Coordinate employee-related documents in cooperation with the payroll provider.
  • Address employee inquiries about remunerations, holidays, overtime, and other documents (e.g., A1, Z15).
  • Maintain the ZUS PUE system, verify employees who are on sick leave, and communicate with ZUS when necessary.
  • Maintain the time recording system.
  • Contribute to and assist with various HR projects and programs.
  • Perform other duties as required.

Qualifications

  • Minimum 3 years of experience in the Polish market, with experience in SSC positions considered an additional asset. 
  • Experience in cooperation with external payroll provider.
  • Strong analytical skills with the ability to evaluate issues from local, regional, and corporate perspectives.
  • Demonstrated ability to effectively use technology, resources, websites, and payroll supplier tools to ensure accurate and timely payroll processing.
  • Knowledge of SAP will be an asset
  • Proficiency in Excel. 
  • Written and spoken fluency in English, with strong written and verbal communication and presentation skills. Additional languages are an asset.
  • High level of accuracy and attention to detail in both manual and system-based tasks.
  • Excellent interpersonal skills, with a high standard of customer service and work quality.
  • Proven ability to work effectively in a global matrix environment and build positive, productive work relationships at all levels (i.e., teamwork and customer satisfaction).
  • Strong organizational, planning, prioritization, and project management skills, with a track record of delivering high-quality work ahead of schedule.
